How our processing service works
First of all, we do not require that you sign a contract. You can take the warranty back anytime you wish. Next, our department is 100% systemized. We have taken everything we've learned from over 25 years of service and implemented proven systems that guarantee effective warranty administration.
Each dealership is assigned an Account Representative. This warranty expert becomes the dealerships "Warranty Administrator." Our Account Representatives have many years of experience at processing millions of dollars worth of claims.
When claims are received from the dealership, they are dispatched to the account representative. The rep then applies a labor operation, concern code and condition code. The parts are checked to ensure proper price and mark-up as well as make sure they are on the correct repair lines.
If a claim cannot be processed, (e.g. needs management authorization) it is logged out and returned to your dealership with a "Ford Repair Order Return Sheet." The return sheet tells you what needs to be done in order for the claim to be processed. You make necessary corrections then send the claim back with the next shipment of claims and it is processed again.
Before claims are submitted directly to the factory the Quality Control Supervisor individually checks them. The claims are checked for the correct labor operation, making sure the maximum time is claimed. They are also checked against our system insuring the claim will stand on it's own during an audit. If all checks out OK claims are submitted to the factory for payment.
When a ACES II Daily Repair Register is received, the dealership needs to fax a copy over to J&L. J&L will reconcile your register. Our copy of the paid claim is filed and rejects are corrected the same day they are received and entered back into the system.
Your
1140 warranty schedule is analyzed monthly to ensure there are
no aged claims on the schedule.
